Payrolll and Benefits Coordinator

Position Summary:

Under supervision of the HR Supervisor, the Payroll and Benefits Coordinator will perform work in payroll, benefits administration, leaves of absences, and related work as assigned and requested. They will provide support for various Human Resources employee programs within the organization.  This position will provide support to the Human Resources Supervisor and SVP/Senior Human Resource Manager regarding polices, regulations and procedures.

The HR Payroll and Benefits Coordinator will provide general support, maintain records of personnel actions, and assisting in ensuring that personnel functions conform to all applicable regulatory requirements and Bank standards related to payroll and benefits.

The level of this position is based on years of service, education and/or equivalent experience, knowledge level and skill set.

Essential Functions:

  1. Process all payrolls for Citizens Alliance Bank and Forstrom Bancorporation subsidiaries which includes reviewing timesheets for accuracy and approval, processing garnishments/levies/child support orders, GL reporting and verifying employee payroll changes are processed correctly.
  2. Generate and/or create all payroll and GL reports required by finance department or audit (internal or external).
  3. Coordinate benefit enrollment for new/recent hires which includes benefit meetings and reviewing enrollment elections for accuracy.
  4. Review all Benefit invoices to ensure accuracy of enrollment and deduction. Process payments to vendors and make/request corrections as needed.
  5. Under the direction of the HR Supervisor, ensure compliance with COBRA guidelines by preparing letters and other paperwork as directed; receive and record COBRA insurance premium payments.
  6. Lead Annual Open Enrollment for benefits which includes scheduling vendor meetings, building in HRIS system, and coordinating HR informational meetings.
  7. Administer all Leaves of Absence for our employees which include but is not limited to FMLA, Medical LOA, Personal Leave, Unpaid Leave.
  8. Communicate with employees, departments, supervisors, and managers for the purpose of producing information and assistance in payroll, benefits, and leaves of absence.
  9. Compile annual fringe benefit information and produce appropriate documentation for vendor compliance for annual renewals.
  10. Serve as HRIS Specialist for modules related to Benefits (life events), Payroll, and GL reporting.
  11. Works on assigned projects and special assignments and acts as back up to other members of HR as needed.
  12. Assist in training and counselling staff on issues, rules, policies, and regulations related to payroll and benefits.
  13. Participate in administrative staff meetings and attend other meetings and seminars as requested.
  14. Assist with maintenance of personnel files in compliance with applicable legal requirements and keep employee records up to date by processing employee status changes in a timely fashion.
  15. Ability to prioritize workload and multi-task multiple priority assignments.
  16. Assist co-workers as needed.

  19. Travel for trade and industry schools and seminars as needed.
  20. This position may require installation of a Multi-Factor Authentication (MFA) app on an employee’s personal mobile device. THE MFA apps are used to authenticate a user’s identity to the system for security purposes.
  21. Adhere to and comply with all applicable, federal, and state laws, regulations, and guidance, including those related to BSA/AML, as well as adhere to the Bank’s policies and procedures.
  22. Perform other duties as assigned and requested.

Education and Experience:

Required - High School diploma or GED, Etc. 

Required - Bachelor’s Degree or equivalent experience.

Required - Continuing Education to maintain job knowledge.

Preferred - Three to Five years of experience in Human Resources.

Preferred - Three to Five years of banking experience.

Preferred - Proficiency in Microsoft Suites.
