Position Summary:
We are looking for a reliable and detail-oriented Billing Administrator to manage the invoicing and billing operations for our trucking company. This role is essential in ensuring accurate and timely billing for freight services, maintaining financial records, and supporting the overall efficiency of our accounting department.
- Prepare and issue freight invoices based on load documentation, rate confirmations, and delivery records.
- Verify and reconcile bills of lading (BOLs), proof of delivery (POD), and other shipping documents.
- Apply accessorial charges such as detention, layover lumper charges, and fuel surcharges accurately.
- Maintain up-to-date billing records and customer account information.
- Communicate with dispatchers, drivers, and customers to resolve billing discrepancies.
- Monitor accounts receivable and assist with collections when necessary.
- Generate billing reports and assist with month-end closing procedures.
- Perform other duties as assigned, including general administrative support, assisting the office manager; Answering the phone; assisting with dispatch when needed
- High school diploma or equivalent; associate degree in accounting or business preferred.
- 2+ years of billing or administrative experience, preferably in the transportation or logistics industry.
- Proficiency in QuickBooks and Microsoft Office (especially Outlook, Word & Excel).
- Strong attention to detail and organizational skills.
- Excellent communication and customer service abilities.
- Knowledge of freight billing terms (LTL, FTL, accessorials).
- Experience with EDI billing and customer portals.
- Understanding of DOT and FMCSA documentation requirements.
- Freight audit and pay system experience.
- Time management and multitasking in a fast-paced environment.
- Basic accounting knowledge and data entry accuracy.
